Rental Terms

Payment
Full payment for the rental must be made no later than 60 days prior to arrival. If payment is not received within 60 days prior to your arrival, your reservation will be canceled and your deposit will be forfeited. If you feel payment may not be recevied by us in the agreed upon timefram, please advise us and we will review to see if the time can be extended.

Security Deposit
A $
300 damage/security deposit is required to secure your reservation. This deposit is refundable to you, provided no damages occurred in the home by your party.

Arrival and Departure
The rental period begins at 4:00 pm on the day of arrival and ends at 1
0:00 am on the day of departure. Early arrival or late departure times are subject to availability. Additional charges may apply.

Once the full balance and deposit have been paid, you will be issued detailed information on how to enter the home. This will include details directions, gate code to enter the community, and key code for our keyless entry system.

Property Management
If assistance is needed during your stay, please notify our property management company
. Full contact details will be provided prior to your stay.

Property Access
It may be necessary for staff or agents of our property management company to enter the premises in order to perform routine maintenance or repairs. Any entry will be with prior knowledge and consent of the property owner and tenant. In the event of an emergency and if the tenant is not reachable, the property may be entered without consent.

Cancellations
All cancellations must be received in writing. If via email, you must have a written response of receipt by the owner. All cancellations will be reviewed on a case-by-case basis. All cancellations are subject to the
penalties described below.

Additional Terms
We accept no responsibility whatsoever, and no payment or other compensation will be payable if cancellation or changes to the terms of booking are brought about, or become necessary, due to war or terrorist acts, strikes, natural disaster, fire, flood, hurricane, or adverse weather conditions, airport closures, or nuclear incident. We the homeowners or our agents do not accept liability or responsibility for an injury caused as a result of the use of our properties, pool or spa.

It is the responsibility of an adult member of the party to ensure that children are always properly supervised when in the pool area.
Children ARE NOT permitted in the pool or pool area unattended. Posted pool rules must be adhered to while in the pool area.

Pets are permitted with prior approval.
Smoking is not permitted inside or outside the house. Abuse of these policies will result in the loss of deposit.

The property should be left clean and undamaged. If the property is not left in a suitable condition, all or part of your deposit will be forfeited.

 

Detailed Conditions of Rental

Booking Policy

Once we are in receipt of a booking confirmation the requested dates will be blocked from our availability calendar. A deposit of 20% of the total booking is required to secure the property and should be received within seven days of the initial booking request. If no deposit has been received within seven days of the initial booking request we reserve the right to source and accept alternative bookings for the requested dates.

The balance of payment is required 60 days prior to commencement of stay. At this point a damage security deposit of US$300 ($500 if pets are approved) is also required to cover against breakages or loss. This can be in the form of a cheque, post dated for the date of departure from the property. Upon receipt of full payment and security deposit, an information packet and contract including lock box/key instructions, maps and directions will be sent to you.  If full payment has not been received eight weeks prior to commencement of stay we reserve the right to source and accept alternative bookings for that period.

We accept payment via personal cheque or credit card payments via PayPal.  A detailed receipt will be provided following any and all financial transactions.

The damage security deposit is NOT applied toward rent and is fully refundable within (14) days of departure, provided the following provisions are met:

  • No damage is done to the villa or its content, beyond normal wear and tear
  • No charges are incurred due to contraband, pets or collection of rents or services rendered during the stay
  • All debris, rubbish and garbage are placed in bins and soiled dishes are placed in the dishwasher and cleaned
  • All keys are left in the external lock box by the front door and villa is left locked
  • All charges incurred during the stay are paid prior to departure
  • No linens are lost or damaged
  • NO early check-in or LATE check-out
  • The renter is evicted by the owner (or representative of the owner), the local law enforcement, or the security company employed by Sunset Lakes.

Rental Rules

The villa is NON-SMOKING.  

PETS are permitted with prior approval.  Pet owners are responsible for cleaning up any/all pet refuse.  Pets are not allowed on furniture at any time.  Any evidence of pets on furniture may incur extra cleaning fees.  All pets must be up-to-date on rabies vaccinations and all other vaccinations.  Heartworm prevention is highly recommended.  All pets are to be treated with Advantage or similar topical flea and tick repellent three (3) days prior to arrival.  All items  are the sole responsibility of the pet owner.  The villa owners assume no responsibility for illness or injury that humans or pets may incur while on the premises.

MAXIMUM OCCUPANCY – The maximum number of guests is limited to eight (8) persons.  An additional charge of $10.00 per person per night for guests in addition to eight (8) will be charged.

MINIUM STAY – This property requires a three (3) night minimum stay.  Longer minimum stays may be required during holiday periods.  If a rental is taken for less than three (3) days, the guest will be charged the three-night rate.

Cancellation Policy
All cancellation requests must be received in writing and will be valid from date of receipt:  Cancellation reimbursements are as follows:
Days before commencement of stay:
60+:   Full refund less deposit
45-59: 75% refund from full rate
31-44: 50% refund from full rate
30 or less: 100% cancellation fee applies*
*If an alternative rental is found for the cancelled dates we will refund all monies less the initial deposit.

Responsibilities
This house is a privately owned home. We, the owners have made it our responsibility to ensure that this house exceeds all expectations in terms of safety, security, amenities, comfort, cleanliness and presentation. Considerable time and expense has been spent ensuring that it meets and exceeds the highest standards as a vacation rental property and we ask that in order to maintain this all guests exercise due care, courtesy and respect at all times.
All persons staying in the property are responsible for exercising reasonable care of the house, its furniture, fittings and outside areas. This entails (but is not exclusive to) the locking of all doors and entrances when the property is unoccupied, ensuring that you and all members of your party exercise due care when using the pool or any appliances and amenities in the house and that you comply with the terms or instructions set out in the owners and management companies literature.
 At the end of the rental period, all utensils, carpets, furnishings, walls, fittings, as well as outside pool and deck area must be left clean and tidy. It is the guest’s responsibility to notify the Property Management Company immediately of any sudden equipment failure or breakages so that reasonable action can be taken to rectify the situation. A full inventory is taken before and after each guests stay and any items proven to be broken, stolen or recklessly damaged may result in the loss of all or part of the security deposit.
It is the guest’s responsibility to read the information brochure provided in the house to familiarize themselves with the layout and features of the home and of the high standards of presentation that Sunset Lakes upholds. Sunset Lakes Homeowners Association can fine guests for violation of any of the following: failure to observe quiet time (21:00-08:00), parking violations, or failure to observe trash (rubbish) collection stipulations. Any fines collected will be the responsibility of the respective guest.
